How to book a shipment from scratch

Learn how to book a new shipment.

If you have a new shipment that you'd like to arrange from scratch, the "Search & book" option allows you to initiate the booking request.                                                                                                        

💡 Tip: For import shipments you can save time by sending our agent details to your supplier(s) - your supplier reports new shipment directly to our agent and our agent adds the new shipment to your platform. Shoot us a message with your supplier details and we provide you with our agent details.

Do you have rates in the platform for your booked shipment? You find your shipment back in the Shipments overview.                                                                                                                                             

Don't you have rates in the platform for your booked shipment yet? You find you're shipment back in the Quotes overview. After you confirm the costs you'll find you're shipment also back in the Shipments overview.


Step 1: Go to Search & book

Head over to the top left of your platform where you'll see the +Create button. Give that a friendly click, and a menu will drop down.

Click on Search & book and you'll be greeted with a new screen. Here you can add all the shipment details to request your booking.                                                                                                       

                                                                                                                                        Step 2: Select your role

First, select your role. Are you importing a shipment? You're the consignee.

Are you exporting a shipment? You're the shipper.

Step 3: Choose your modality

Next step, choose your modality - Sea, Air or Rail.

                                                                                                                                  Step 4: Fill in the addresses or port

Then it's time to fill in the from and to address (or port). The address you provide must align with the selected Incoterm for your shipment. Here's an example:                                                                                                                                                                                                              Import:

  1. You ship under incoterm FOB from Shanghai to the Shypple office.
  2. The from address is the loading port, so you fill in: Shanghai.
  3. The to address is an delivery address*, so you fill in: Vasteland 100, Rotterdam.                                   

Export:                                                                                                                                                           

  1. You ship under incoterm CIF from your warehouse to your customer in China.
  2. The from address is the loading address*, so you fill in: Vasteland 100, Rotterdam.
  3. The to address is the discharging port, so you fill in: Shanghai.

*Our search & book is connected to Google - so our platform recognizes most addresses.

 

💡 Save time! Stop repeatedly entering the same shipping details every time you book a shipment with our Address Book feature.

Step 5: Departure date, Incoterm and Shipment services

Now it's time to choose the preferred departure date, choose the incoterm and select the shipment services.

 

💭 Keep in mind that the departure date is preferred, and not a fixed date. Because the number of days you need to calculate for transport time from the cargo ready date at the factory to the Estimated Time of Departure (ETD) from a vessel in the loading port depends on several factors.                                                                                                                                                       

👉🏼 Incoterms play a major role in determining responsibilities and costs between the seller and the buyer in international trade. By matching your address information with the chosen Incoterm, we can better understand your specific requirements and expectations. This allows us to provide you with the highest level of service and support throughout the entire shipping process.                                                                                                                                                                    

💡 Do you need help with Incoterms? Simply hover over the 'i' icon in our platform next to Incoterm. You'll find a helpful overview of the available Incoterms to guide you through the selection process effortlessly.

Step 6: Load type and requirements

Choose your load type FCL or LCL and fill in the load requirements.

Shipping dangerous goods? Don't forget to check the box 'Dangerous goods'.

Step 7: Request your booking

Click on 'Show Results' and a new screen will greet you. Now you can click on 'Request booking'.

Step 8: Place your booking

If you have fixed rates for the tradelane you want to request your booking for, we'll show you the price in this overview. If this is a new tradelane, the price is set on to be requested. Accept our terms and click on 'Place Booking'.

 

💎 Please remember that you can always cancel your booking after making a request. We value your flexibility.  

Step 9: Add your reference number   

Yes, your booking is successfully requested! Don't for forget to add your shipment reference in 'Shared reference'. By adding your reference number you can easily find your shipment back.

Don't you have rates in the platform for your booked shipment yet? You find you're shipment back in the Quotes overview. After you confirm the costs you'll find you're shipment also back in the Shipments overview.

Step 10: Shipping instructions       

What's next? Click on 'Go to your shipment' on the bottom right and fill in the shipping instructions.

To ensure we meet all your requirements and expectations, we kindly request some important booking details from you. Your input will help us arrange everything for a smooth sailing.

Step 1

You're greeted with a new screen after clicking on 'Go to your shipment'. Visit the 'Bookings' tab to fill in the booking details. 

Step 2

Scroll a bit down and click on the '+' under Shipper and Consignee. You'll be greeted with a new screen where you can choose the correct Shipper and Consignee details from your Address Book.

You want to add a new adress? No worries! You can fill in the new address and it will directly be saved in your Address Book as well!

Step 3

Yay, the task 'Complete Booking Information' will be marked complete now!

                                                                                                             How to add reefer settings

Step 1

In your shipment, go to the 'Containers' tab. In this tab you can add your reefer settings. Click on the More button.                                                                                                                                            

Step 2

You'll be greeted with this screen. Add your reefer settings here and click on Save!


                                                                                                            How to add the MSDS and/or draft DGD

In your shipment, go to the 'Documents' tab. In this tab you can add your shipping documents.

 

 

💥 For a booking containing dangerous goods we always need the MSDS.
