Shipper’s guide: EXW/FCA shipment reparation
1. Equipment & suitability
- Check your container: Verify the advised container type immediately upon booking confirmation.
- Loading readiness: The container will arrive on a truck trailer. Ensure your facility has the proper equipment (e.g., a forklift or a loading dock) to load the container safely while it remains on the chassis.
2. Shipper’s responsibilities
Per international shipping standards, the shipper is responsible for:
- Loading & stowing: Placing the goods securely inside the container.
- Packing & securing: Ensuring cargo is securely lashed, stable and protected for sea/road transit.
- Sealing: Applying a heavy-duty bolt seal once loading is complete.
- Note: If you cannot meet these requirements, please contact us in advance to arrange alternative solutions.
3. Loading time & costs
Time management is critical to avoid additional carrier fees:
- Free loading window: You have 2 hours of free time to load (starting from the planned arrival).
- Overtime fees: A rate of 75 EUR per hour (charged in 15-minute increments) will be invoiced for any time spent beyond the free window.
4. Required documentation
Please share the Commercial/Proforma Invoice and Packing List with us as soon as possible. Documents must include:
- Full Buyer & Seller contact details.
- Clear description of goods & HS codes.
- Price, Currency, and agreed Incoterms.
- Gross weight (brutto) specified per HS code.
5. Customs clearance (optional)
We can handle your export customs clearance and Portbase filing. To enable this, we require:
- A signed Power of Attorney (POA).
- A recent Chamber of Commerce extract showing the authorized signatory.
