Shipper’s guide: EXW/FCA shipment reparation

 

1. Equipment & suitability

  • Check your container: Verify the advised container type immediately upon booking confirmation.
  • Loading readiness: The container will arrive on a truck trailer. Ensure your facility has the proper equipment (e.g., a forklift or a loading dock) to load the container safely while it remains on the chassis.

2. Shipper’s responsibilities

Per international shipping standards, the shipper is responsible for:

  • Loading & stowing: Placing the goods securely inside the container.
  • Packing & securing: Ensuring cargo is securely lashed, stable and protected for sea/road transit.
  • Sealing: Applying a heavy-duty bolt seal once loading is complete.
  • Note: If you cannot meet these requirements, please contact us in advance to arrange alternative solutions.

3. Loading time & costs

Time management is critical to avoid additional carrier fees:

  • Free loading window: You have 2 hours of free time to load (starting from the planned arrival).
  • Overtime fees: A rate of 75 EUR per hour (charged in 15-minute increments) will be invoiced for any time spent beyond the free window.

4. Required documentation

Please share the Commercial/Proforma Invoice and Packing List with us as soon as possible. Documents must include:

  • Full Buyer & Seller contact details.
  • Clear description of goods & HS codes.
  • Price, Currency, and agreed Incoterms.
  • Gross weight (brutto) specified per HS code.

5. Customs clearance (optional)

We can handle your export customs clearance and Portbase filing. To enable this, we require:

  1. A signed Power of Attorney (POA).
  2. A recent Chamber of Commerce extract showing the authorized signatory.
